Setup flow
Workload: who has too much this week
Workload shows who has how much to do each week, across every project
you're in: a row for each person, a column for each week from this one, and in
each week the number of their open tasks against how many they take on. It's
the place to see who's overloaded before it shows as late work, and to hand a
task to someone with room.
Opening it
Open Projects (All projects in the sidebar) and choose Workload, next
to Table and Timeline, or press Ctrl/⌘ K and choose Go to Workload. The
search box and Needs attention narrow it to those projects: their people and
their tasks.
How tasks count
- A task counts for the person it's assigned to, in each week it runs, from
its start date to its due date. A task with only a due date counts in the
week it's due. - Overdue lists open tasks that were due before this week.
- No dates counts open tasks without dates, which no week can show. Give
them dates to see where they fall. - Subtasks count, as they do everywhere else on the Projects page. Finished and
cancelled tasks don't. - Nobody is the row for tasks no one has, including tasks of someone whose
account was deleted. - Tasks assigned to an AI agent aren't counted: they're the agent's to run.
- Weeks start on Monday, in your own time zone.
People are sorted busiest first: the fullest week against their capacity
decides it.
Capacity
Each person's capacity is how many tasks a week they take on: 5 unless set.
It's shown next to their name, as 5/wk.
- Click your own to change it, from 1 to 100. Use the default puts it
back to 5. - A workspace admin can change anyone's.
A week under someone's capacity is grey, a week exactly at it is in the accent
colour, and a week over it is red with a warning sign. The line above the grid
says how many people have more than they take on this week.
Counting hours
Switch Tasks to Hours above the grid to count estimated time instead of
tasks (your choice is remembered).
- Give a task an Estimate in its panel: 2h, 1h 30m, 1.5h, up to 1000 hours.
The Time row then reads, say, "1h 15m logged of 12h", in red once the time
logged runs past it. - Each task's estimate is spread evenly over the working days it runs: 10 hours
from Thursday to the next Wednesday is 4 hours this week and 6 the next. - Each person works 40 hours a week unless set. Click 40h/wk next to a
name to change it (your own, or anyone's as a workspace admin). - A week whose tasks have no estimate yet shows – rather than 0h, and the
line above the grid says how many tasks are uncounted.
Time off
Mark time off on your calendar: make an event and tick Away (it becomes
whole days, and shows muted on the calendar). The workload takes the working
days you're away, Monday to Friday, out of that week's capacity: two days
away in a 5-a-week week leaves 3, and a week off leaves none. A week with
time off shows how many days (−2d), or Away when the week is off and
empty, and Give it to… weighs each person's room that week. Only the
dates show in the workload, never the event's title.
Acting on a week
Click a week with tasks to see them, each with its project and dates.
- Click a task's name to open it.
- → moves it a week later: same weekday, same times. For an overdue
task, → brings it to next week. The tasks waiting on it move along, as on
the timeline. - Give it to… hands it to someone else in its project. The people with the
most room that week come first, with their count beside them.
A project's admins can move and hand on its tasks; everyone else sees the
workload but can't change it. Every change also shows on the board, the list
and the timeline, and goes into the task's history.
Keyboard and phone
Press Tab to reach the first week with tasks; the arrow keys move between
weeks that have tasks, Enter opens one, and Tab leaves the grid. On a
phone, the grid scrolls sideways and each person's capacity sits under their
name.
Workload is in OneCamp v2.57.0 (with AI) and v1.42.0 (without AI); time off,
estimates and hours are in v2.58.0 and v1.43.0. All of it is on every plan,
the free one included. Asana keeps workload for its Advanced plan and
monday.com for Pro.
