Linked tables and rollups
A relation column can link a table's rows to the rows of another table, or
of the same one. Each deal links to its company, each budget line to its
vendor, each task to the tasks it waits on. A rollup column then adds up
what each row links to: a company's deals, a vendor's spend, how many tasks
are done.
Link two tables
- In the table that should link, press + at the end of the columns.
- Name the column and choose Relation. Under Links to, choose
Rows of a table, then the table. - Leave Also show these links in … ticked to get a column in that table
too, showing the links from its side. Untick it for links only this table
needs. - Press Add.
To link a row, press + in its cell. Pick from the other table's rows, or
type part of a name to find one.
A link shows the linked row's name: its first column, which stays current
when the row is renamed. Press a name to open its table.
The column in the other table works the same way from its side. Link or
unlink a row there, and the first table's cell changes too.
Made a relation without ticking Also show these links in …? Open the
column's settings and tick it there. If this table is private and the other
isn't, OneCamp warns you first: everyone who can open the other table will
see a column there named after this one. Its rows and links stay hidden from
them.
Add up linked rows with a rollup
- Press +, name the column and choose Rollup.
- Under Rows of, choose a relation column that links to a table.
- Under Field, choose the linked rows' column to add up, or None to
count the rows. - Under Calculate, choose how:
- for numbers: Sum, Average, Smallest or Largest;
- for dates: Earliest or Latest;
- for checkboxes: Count the ticked;
- for any field: Count the values, Count unique values, List
them, List each once or Count the rows.
A rollup is worked out each time the table opens, like a formula, so it's
never stale. Formulas can use it: {Spend} / {Lines} gives a vendor's
average line.
Good to know
- A rollup can add up a formula in the other table. It can't add up another
rollup, or a formula that reads links or rollups. - People who can't open the linked table see its rows as Private row,
and rollups over it say they can't be worked out. A shared link to a table
shows links to other tables the same way. - Deleting a relation column also deletes its column in the other table.
Deleting the other table's column keeps the links, shown only from the
first table. - A relation keeps the table it was made with. To link to another table, add
a new relation. - A cell can link to up to 1,000 rows, and shows the first 100 with a count
of the rest. - A rollup adds up to 10,000 linked rows for each row, and counts up to
100,000. Past that it says so, rather than giving a wrong number. - Opening a page of a very large table reads up to 200,000 links and 50,000
linked rows, the top rows first. Rows past that show how many links they
have, and their rollups say there are too many to add up. Totals and charts
over them say they fall short. - A table can have up to 50 relations to tables, and up to 100 rollups.
- Through the API, a new row's link cell lists the rows to link it to, by id.
Updating a row leaves its links as they are, so a row sent back as it was
read changes none of them. Links are added and removed from the cell, withPOST /tables/{id}/rows/{rowId}/links, or by an AI agent'slink_table_rowstool. - Rows can still link to tasks, docs, boards, projects and people: choose one
of those under Links to instead.
In the demo, open Vendors: Spend adds up the Launch budget lines linked
to each vendor.
